Board of Directors Meeting Minutes

October 4, 2016

Call to Order

The meeting was held at the Herndon Fortnightly Library and called to order at 7:11pm.

 

Approval of Minutes from Previous Meeting

The minutes from the June 14, 2016 meeting were unanimously approved.

 

Current Management Issues

The Board discussed exceptions to the parking ban for commercial vehicles and decided that no allowances will be made for commercial vehicles to be parked in Herndon Woods Court. The HOA Handbook will be updated to reflect this.

 

The Board also agreed that any replacement fences should be as stated in the HOA Handbook, i.e., similar to the existing fence being replaced (board on board). The Handbook will be updated to specifically spell this out, and a homeowner who used latticework to replace his fence will be notified to use board on board.

 

The annual HOA meeting is scheduled for Thursday November 10, 2016. Notification will be sent to all homeowners along with the pertinent documents.

 

Terms for Tara Reddy, John Farmer, and Abdul Manraj are up in December 2016. Tara notified the Board via email that she will no longer seek another term on the Board. Hannah Davis, the new homeowner present, decided that she will join the Board. There is still an unfilled position.

 

Jack will create an email group for homeowners so that they can get updates. Not all homeowners have submitted email addresses, so notifications will only reach those who have provided their email addresses to the Management Company.

 

Current Maintenance Issues

1.       RESOLVED: Crack sealing and striping were done in Herndon Woods Court, the Board was pleased with the outcome of the work.

 

2.       RESOLVED: Notifications were sent to a number of homeowners to address various maintenance issues.

 

3.       PENDING: Owner of 721 HWC will be notified that his railing needs to be repainted to match the rest of the townhomes.

 

Financial Update

With 67% of the year completed, 75% of the budget has been consumed. There is no concern about the budget at this time. Letters will be sent to a number of homeowners who are delinquent with their HOA dues.

 

Next Meeting

The next meeting will be the annual HOA meeting held at the Herndon Fortnightly Library on November 10, 2016.
