Board of Directors Meeting Minutes

June 14, 2016

Management Company Representative present: Jack Schwab

 

Call to Order

The meeting was held at the Herndon Fortnightly Library and called to order at 7:08pm.

 

Approval of Minutes from Previous Meeting

The minutes from the March 8, 2016 meeting were unanimously approved.

 

Current Management Issues

Jack Schwab, owner of TSG Constructions Inc. (the Herndon Woods HOA Management Company) informed the Board that he will be retiring soon probably at the end of 2016. Jack will keep the Board apprised of the date of retirement and will work with the Board to find a new management company so that there will be a smooth transition.

 

Current Maintenance Issues

1.       RESOLVED: Dominion VA Power was contacted about a flickering street light at 701 HWC. This has been resolved.

 

2.       RESOLVED: There were complaints about a lot of trash and building materials lying around in the backyard of 701 HWC. The owner was notified and the yard was cleaned up. Currently the property is for sale.

 

3.       RESOLVED: Two dead trees were removed from behind 501 Fairfax Lane. The Board decided that both trees were within the property lines of 501 Fairfax Lane so the owner is responsible for the costs of the removal (the owner had requested that the costs be shared with the HOA).

 

4.       PENDING: The Management Company received a quote for $2,950 to do the crack sealing ($1,900) and striping ($1,050.00) in HWC. The Board agreed to move forward with this, the Management Company is scheduling the work and will send notifications to homeowners as vehicles will need to be moved.

 

5.       PENDING: Notifications will be sent to the following for:

         501 Fairfax Lane dead tree needs to be removed

         502 Fairfax Lane paint on the trim has come off

         504 Fairfax Lane dead tree needs to be removed

         505 Fairfax Lane dead tree needs to be removed

         510 Fairfax Lane top of the chimney is discolored, it needs to be painted

         705 Herndon Woods Ct. paint on the trim has come off

         719 and 721 Herndon Woods Ct. planks from the fence between these homes have fallen off

 

Financial Update

At this time, there are no current financial issues.

 

Next Meeting

The next meeting will be held at the Herndon Fortnightly Library in September, date and time TBD.
