Board of Directors Meeting Minutes

March 16, 2017

Call to Order

The meeting was held at the Herndon Fortnightly Library and called to order at 7:11pm.


Approval of Minutes from Previous Meeting

The minutes from the October 4, 2016 meeting were unanimously approved. Action items from the October meeting were completed.


Current Management Issues

Many homeowners are using open bins for recycling and trash, resulting in trash getting blown around the neighborhood during windy days. This is a major problem in both the townhome and single family neighborhoods. The Board agreed to send letters to homeowners reminding them that both recycling and trash needs to be in covered bins and / or secured in plastic bags to avoid trash getting blown around the neighborhood. Offending homeowners will be charged a $50.00 fine per incident.


The Town of Herndon has been distributing new bins as trash is now being picked up by a robotic arm on the truck. Hannah asked when the townhomes will be getting their bins as this will help with the trash problem. Abdul will check with the Town of Herndon to find out when the new bins will be distributed to the townhomes.


Current Maintenance Issues

1.    705 HWC still has a latticework fence, which is not in conformity with the rest of the fences as described in the Herndon Woods HOA Handbook. The Management Company will notify the owner that this needs to be resolved.


Financial Update

At the end of 2016, the HOA budget was over by 2%, i.e., 102%. This is not an issue as the association is in good shape financially. In 2017, with 17% of the year completed, 16% of the budget was spent.


Although 514 HWC was contacted multiple times both verbally and in writing about late HOA dues (six quarters), there was no follow up on payments. The Board agreed that this will be escalated to our lawyers to handle.

The next meeting will be in June 2017.
