Board of Directors Meeting Minutes


March 8, 2016

Call to Order


The meeting was held at the Herndon Fortnightly Library and called to order at 7:06pm.


Approval of Minutes from Previous Meeting


The minutes from the September 10, 2015 meeting were unanimously approved.


Current Management Issues


At this time, there are no current management issues.



Current Maintenance Issues


1.    Dominion VA Power was contacted about a flickering street light at 701 HWC, Bob will check to see if the issue has been resolved.

2.    Abdul contacted Herndon Public Works again about removing the downed trees behind 501 Fairfax Lane. As of June 11, 2015, the town arborist reported that the tree “should” be removed soon, there is now a second fallen tree that is leaning against another one and presents a hazard. As of March 8, 2016, and after multiple calls and emails to the Town of Herndon and the Fairfax County Park Authority, the downed trees are still there.

3.    A fallen Austrian Pine tree in the Herndon Woods common area was removed.

4.    There were complaints about a lot of trash and building materials lying around in the backyard of 701 HWC, the owner will be notified to take care of this.

5.    The Management Company received a quote for $2,950 to do the crack sealing ($1,900) and striping ($1,050.00). The Board agreed to move forward with this, the Management Company will arrange for this to be done around mid-May.


Financial Update


1.    The 2015 budget came in 4% under, income was at 107% due to late fees.

2.    Snow removal in 2015 was $680 higher than what was budgeted.


Next Meeting


The next meeting will be held at the Herndon Fortnightly Library in June, exact date and time TBD.
